Pixaryah (“we,” “us,” “our”) operates the Pixaryah PMS mobile and web application (the “App”), an internal staff attendance, leave, and payroll management system used by Pixaryah employees and administrators. This Privacy Policy explains what information the App collects, how it is used, and your rights regarding that information.
The App is an internal business tool. There is no public sign-up — every account is created by an Administrator for a specific employee of the organization. If you are not a Pixaryah staff member, you should not have access to this App.
1. Information We Collect
a) Information provided by your Administrator
When your Administrator creates your account, the following information is stored:
Full name, email address, and phone number
Gender, CNIC (national ID number), and home address, where provided
Profile photo, where provided
Employment details: employee code, designation/job title, employee type (e.g. intern, probation, permanent), shift timing, and salary/compensation configuration
Login credentials (your password is stored only as a one-way, salted hash — we cannot read your original password)
b) Information generated by your use of the App
Attendance data: check-in/check-out timestamps, break start/end times and type (e.g. lunch, prayer, meeting), and the resulting worked hours, lateness, and overtime calculations
Network/IP address: the IP address your device connects from is recorded at check-in/check-out to verify you are on an approved office network. The App does not collect GPS or precise device location — attendance verification is IP-based, not location-based
Leave requests: leave type, dates, and reason you submit, along with approval status
Payroll records: calculated salary, deductions, overtime pay, and bonus figures derived from your attendance and leave data
Notifications: in-app and push notifications sent to you (e.g. check-in confirmation, leave decisions, salary generated), and a device push token (via Expo’s push notification service) used to deliver them
Audit logs: a record of account and data changes (e.g. password resets, profile edits) made by Administrators, for accountability
c) Information we do NOT collect
The App does not request or access your camera, microphone, contacts, calendar, or device photo/file storage — these permissions are explicitly disabled in the App. We do not track your precise GPS location, and we do not collect data for advertising purposes.
2. How We Use Your Information
We use the information above solely to operate core HR functions:
Verifying identity and authenticating logins
Recording and calculating attendance, breaks, lateness, and overtime
Processing leave requests and maintaining leave/YPL balances
Calculating and generating monthly payroll
Sending you relevant notifications (attendance confirmations, leave decisions, salary updates, password resets)
Giving Administrators visibility into workforce attendance and performance for legitimate HR/business management purposes
Maintaining audit logs for security and accountability
3. AI-Generated Insights
For Administrators only, the App uses Google’s Gemini API to generate short natural-language summaries of aggregate attendance trends (e.g. “3 employees were late today”). These summaries are generated server-side from structured attendance statistics; the underlying attendance/payroll figures always come directly from our database, and the AI-generated text is a non-authoritative convenience summary, not a source of truth.
4. How Information Is Shared
We do not sell your personal information, and we do not share it with third parties for advertising or marketing.
Information may be shared in the following limited circumstances:
With your Administrator: all attendance, leave, and payroll data is visible to your organization’s Administrator, as this is the purpose of the App
Google Sheets export: at the Administrator’s initiation (or on an automatic monthly schedule), payroll, attendance, and leave summaries may be exported to a Google Sheets spreadsheet controlled by the Administrator, for backup and record-keeping purposes
Google Gemini API: aggregated attendance statistics are sent to Google’s Gemini API solely to generate the natural-language summaries described in Section 3
Expo push notification service: your device’s push token is shared with Expo’s notification infrastructure solely to deliver in-app notifications to your device
Legal requirements: if required to comply with applicable law, regulation, or legal process
5. Data Storage and Security
Your data is stored in a secured database operated by Pixaryah. Access to the App and its data requires authentication (JWT-based login), and all data-affecting actions are validated server-side. Passwords are never stored in plain text. All network communication with our servers uses standard internet security protocols.
6. Data Retention
Your employment-related data (attendance, leave, payroll, audit logs) is retained for as long as your account remains active and for a reasonable period afterward, as needed for legitimate business, payroll, tax, or legal record-keeping purposes. When no longer needed, data is deleted or anonymized in accordance with our internal retention practices.
7. Your Rights
Since accounts are managed by your Administrator rather than self-service, requests to access, correct, or delete your personal information should be directed to your Administrator or to us at info@pixaryah.com. We will respond to reasonable requests in a timely manner, subject to any legal or legitimate business record-keeping requirements.
8. Children’s Privacy
This App is intended for use by adult employees of Pixaryah in the course of their employment. It is not directed at, and we do not knowingly collect information from, children.
9. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in the App or applicable law. We will update the “Last updated” date above when changes are made. Continued use of the App after changes take effect constitutes acceptance of the revised policy.
